How to Write a Report in English

Introductionভূমিকা

A newspaper report is built upside down, and that is the one thing our exam preparation almost never explains. We are trained to write like a story — background first, then the build-up, then finally what happened, and a sad or hopeful line at the end. A reporter does the exact opposite: the most important fact goes in the very first sentence, and everything after it matters less than the sentence before it. Editors cut reports from the bottom. If your best fact is at the bottom, your best fact is what gets cut.

A report is an account of what happened, written for people who were not there and who will not take your word for it. Hence its three fixed habits: past tense, third person, and attribution — every claim traced to who said it or where it came from. A headline, a byline and dateline, then facts in falling order of importance.

**উল্টো পিরামিড — এই একটা ধারণাই রিপোর্ট লেখাকে সহজ করে দেয়।** প্রথম অনুচ্ছেদে (একে বলে **lead**) থাকবে গোটা ঘটনার সারমর্ম: কী, কখন, কোথায়, কে। এক বা দুই বাক্য, ত্রিশ-চল্লিশ শব্দ। যেমন — “At least twelve passengers were injured when a bus overturned on the Dhaka-Aricha highway at Savar early yesterday.” পড়া এখানেই থামিয়ে দিলেও পাঠক মূল খবরটা পেয়ে গেলেন। এরপরের অনুচ্ছেদগুলোতে ক্রমশ কম গুরুত্বপূর্ণ তথ্য — কীভাবে ঘটল, প্রত্যক্ষদর্শীরা কী বললেন, কর্তৃপক্ষ কী বলল, আগে এমন কতবার হয়েছে। **কেন** আর **কীভাবে** সাধারণত পরে আসে, কারণ ওগুলোই সবচেয়ে দেরিতে নিশ্চিত হয়। **Headline, byline, dateline — তিনটে ছোট জিনিস, বেশ কিছু নম্বর।** Headline ছোট, বর্তমান কালে, article বাদ দিয়ে: “Bus overturns at Savar, 12 hurt” — “A bus has overturned…” নয়। Byline হলো প্রতিবেদকের পরিচয়; খাতায় সাধারণত “Staff Reporter” লেখাই যথেষ্ট। Dateline হলো স্থান ও তারিখ, মূল লেখার ঠিক আগে: “Savar, 5 May:”। এই তিনটের একটাও বাদ পড়লে পরীক্ষায় নম্বর কাটা যায়, অথচ তিনটে মিলিয়ে লিখতে দশ সেকেন্ডও লাগে না। **যেখানে আমাদের খাতা সবচেয়ে বেশি হোঁচট খায়: মতামত আর আবেগ।** “It is a matter of great sorrow that such accidents are happening day by day. We should all be aware.” — এই দুটো বাক্য প্রায় প্রতিটা খাতায় থাকে, আর দুটোই রিপোর্টের বাইরের জিনিস। রিপোর্টার নিজের দুঃখ প্রকাশ করেন না, উপদেশও দেন না। কোনো মূল্যায়ন দিতে হলে সেটা কারও মুখে বসাতে হয়: “Local residents said the stretch had been dangerous since the last monsoon.” এটাই attribution, আর এটাই রিপোর্টকে প্রবন্ধ থেকে আলাদা করে। সাথে দুটো শব্দ শিখে রাখুন — **said** (সবচেয়ে নিরপেক্ষ, বারবার ব্যবহার করলেও দোষ নেই), **according to** (নথি বা প্রতিষ্ঠানের তথ্যের জন্য), আর নিশ্চিত না হলে **reportedly** বা **is said to have**। **উদ্ধৃতি নিয়ে একটা সতর্কতা,** কারণ পরীক্ষার খাতায় অনেকে কাল্পনিক উদ্ধৃতি বানিয়ে বসেন। উদ্ধৃতি দিলে সেটা কার, তা পরিষ্কার লিখুন — নাম ও পদবিসহ (“Md. Ariful Islam, officer-in-charge of Savar police station, said…”)। নাম জানা না থাকলে গোষ্ঠীর কথা লিখুন (“Witnesses said…”)। সংখ্যা নিয়েও একই নিয়ম: “হাজার হাজার মানুষ” নয়, যা জানা আছে তা-ই — “at least twelve”, “about two hundred”। জানা না থাকলে অনুমান লিখবেন না। আর মনে রাখুন, **রিপোর্ট মানেই সংবাদপত্রের রিপোর্ট নয়।** SSC ও HSC-তে চাওয়া হয় সংবাদ প্রতিবেদন, কিন্তু বিশ্ববিদ্যালয়ে ও অফিসে যে রিপোর্ট লিখতে হবে তার চেহারা আলাদা: শিরোনাম, উদ্দেশ্য, পদ্ধতি, প্রাপ্ত তথ্য, আর সুপারিশ — সেখানে মতামত শুধু “Recommendations” অংশেই চলে, তার আগে নয়। দুটোর মিল একটাই, আর সেটাই সবচেয়ে জরুরি: যা আপনি নিজে জানেন না বা যাচাই করেননি, তা রিপোর্টে লিখবেন না।

  • I felt so happy at the wonderful, amazing programme!

    The programme was well organised and widely appreciated.

    A report is objective — leave out personal feelings and emotional adjectives.

  • The sports day is held tomorrow at the ground.

    The sports day was held yesterday at the ground.

    A report describes an event that already happened, so use the past tense.

  • A report with no headline or date.

    Add a clear headline and a dateline with place and date.

    The headline and dateline tell the reader what the report is about and when it happened.

  • Hiding the main news in the last line.

    Put the most important facts in the first paragraph.

    Reports use the inverted-pyramid style — key information comes first.
