“Respected Sir, With due respect I beg to state that…” — and then, at the bottom, “Yours obediently”. That is the opening and closing every Bangladeshi is taught, and it belongs to an application handed across a desk in 1950, not to an email. Two lines, one at the top and one at the bottom, decide whether the person opening your message thinks colleague or thinks stranger who copied a template. They are also the two lines you can fix today, without improving your English at all.
“Respected Sir, With due respect I beg to state that…” — আর নিচে গিয়ে “Yours obediently”। এই শুরু আর এই শেষটাই বাংলাদেশে সবাইকে শেখানো হয়, অথচ এটা ১৯৫০ সালে টেবিলের ওপারে হাতে দেওয়া দরখাস্তের ভাষা, ইমেইলের নয়। উপরের এক লাইন আর নিচের এক লাইন — এই দুটোই ঠিক করে দেয়, আপনার মেইল খুলে মানুষটা ভাববে “সহকর্মী”, নাকি ভাববে “অচেনা কেউ টেমপ্লেট টুকে পাঠিয়েছে”। আর মজার ব্যাপার, এই দুটো লাইন আজই ঠিক করা যায় — ইংরেজি এক ফোঁটা না বাড়িয়েই।

An email opening is two things, not one: a greeting (Dear Ms Rahman / Hi Karim) and a purpose line that says why you are writing. The ending is three: a closing line, a sign-off, and your name with enough identity under it that the reader knows who you are. Everything between them is detail.

**শুরুটা।** নাম জানলে নামই লিখুন — এটাই সবচেয়ে বড় পরিবর্তন। “Dear Mr Rahman,” বা “Dear Ms Chowdhury,” (বিবাহিত কি না জানা না থাকলে Mrs নয়, Ms)। নাম জানা না থাকলে “Dear Sir/Madam,”। সহকর্মী বা চেনা কারো জন্য “Hi Karim,” বা “Hello Nusrat,” — বিদেশি অফিসে এটাই স্বাভাবিক, ঔদ্ধত্য নয়। যা বাদ দিতে হবে: “Respected Sir”, “Dear Respected Sir”, খালি “Sir,”, আর “Dear Concern” (শুদ্ধ রূপ “To Whom It May Concern”, তবে সেটা চিঠির জন্য, ইমেইলের জন্য নয়)। আর যাঁর ইমেইলের উত্তর দিচ্ছেন, তাঁর সইয়ে নামটা লেখাই আছে — সেখানে “Dear Sir” লিখলে বোঝা যায় আপনি মেইলটা মন দিয়ে পড়েননি। **সম্বোধনের পরের লাইনটাই আসল।** পাঠক দুই সেকেন্ডে জানতে চান, কী চাই। “I am writing to request a transcript for my visa application.” / “I am writing regarding invoice 4471, which is still unpaid.” / উত্তর হলে “Thank you for your email — yes, Thursday works.” যে ভুলটা এখানে সবচেয়ে বেশি হয়: তিন লাইনের ভূমিকা (“Hope you are doing well. I am a student of your university and I am very much interested…”) দিয়ে শুরু করে চার নম্বর অনুচ্ছেদে গিয়ে আসল কথা বলা। ভূমিকা এক লাইনের বেশি নয়। **শেষটা।** আগে একটা বন্ধ-করা লাইন — “Please let me know if you need anything further.” / “I would be grateful for your reply by Sunday.” তারপর sign-off। ব্রিটিশ নিয়মটা বাংলাদেশের স্কুলেই শেখানো হয় এবং এটাই এখানে চলে: নাম না জানলে **Yours faithfully**, নাম জানলে **Yours sincerely**। কম আনুষ্ঠানিক কাজের ইমেইলে **Best regards** বা **Kind regards** — এটাই আজকের দিনে সবচেয়ে নিরাপদ। আমেরিকান প্রতিষ্ঠানে **Sincerely** দুই ক্ষেত্রেই চলে। বন্ধুকে **Take care** বা **Cheers**। যেগুলো এড়াবেন: “Yours obediently” ও “Your most obedient servant” (শুধু উপমহাদেশে টিকে আছে, বাইরে অদ্ভুত শোনায়), “Thanks & Regards” (এই ampersand-সহ রূপটাও এখানকার), আর “Waiting for your kind reply” — বদলে লিখুন “I look forward to hearing from you.” **আর নামের নিচে।** বাংলাদেশ থেকে বিদেশে পাঠানো ইমেইলে পরিচয় অসম্পূর্ণ থাকলে উত্তর আসে না। নামের নিচে দিন: পুরো নাম, পদ বা ব্যাচ ও বিভাগ, প্রতিষ্ঠান, আর দেশের কোডসহ ফোন নম্বর (+880…)। আর সময় লিখলে অঞ্চল লিখুন — বাংলাদেশ GMT+6, তাই বিদেশি প্রাপকের কাছে খালি “3 pm” অর্থহীন; লিখুন “3 pm Dhaka time (BST)”। সবশেষে subject line, যেটা আসলে ইমেইলের প্রথম লাইন: খালি রাখবেন না, আর পুরো বার্তাটা ওখানে লিখেও ফেলবেন না — “Transcript request — Rafiqul Islam, BBA 2023” এইটুকুই যথেষ্ট।

Don't mix casual 'Hi' with 'Sir', and always capitalise 'I' and the greeting.

Get to the purpose quickly; long personal greetings are not needed in a work email.

Always end with a proper sign-off and your name so the reader knows who wrote it.

'Yours faithfully' is very formal; use a relaxed sign-off with friends.
