Writing an email from scratch is taught in every school in Bangladesh. Replying is taught nowhere — yet that is ninety per cent of what you do once you have a job, and it is where a Bangladeshi professional either sounds like a colleague or sounds like a student handing in an application. The tell is almost always the same: a reply that opens with three lines of apology and deference, and never actually answers the question that was asked.
নতুন ইমেইল লেখা বাংলাদেশের প্রতিটা স্কুলেই শেখানো হয়। উত্তর দেওয়া কোথাও শেখানো হয় না — অথচ চাকরিতে ঢোকার পর নব্বই শতাংশ কাজ ওটাই, আর এখানেই একজন বাংলাদেশি পেশাজীবী হয় সহকর্মীর মতো শোনান, নয়তো মনে হয় ছাত্র দরখাস্ত জমা দিচ্ছে। চিহ্নটা প্রায় সবসময় একই: উত্তরের শুরুতে তিন লাইন ক্ষমা ও বিনয়, আর যা জিজ্ঞেস করা হয়েছিল তার উত্তরটাই কোথাও নেই।

A good reply does four things in order: acknowledge, answer, act, close. Most replies that go wrong skip the second one and drift into explanation instead — and in an inbox, an unanswered question simply comes back as another email, with a shorter temper attached.
ভালো উত্তরে চারটে কাজ হয়, এই ক্রমে: স্বীকার করা, উত্তর দেওয়া, পরবর্তী পদক্ষেপ, সমাপ্তি। যেসব উত্তর গোলমেলে হয়, তাদের বেশিরভাগ দ্বিতীয়টা বাদ দিয়ে ব্যাখ্যায় ঢুকে পড়ে — আর ইনবক্সে উত্তরহীন প্রশ্ন ফিরে আসে আরেকটা ইমেইল হয়ে, এবার একটু কম ধৈর্য নিয়ে।

চার লাইনের কাঠামো, যেটা প্রায় সব কাজের ইমেইলে খাটে: **১. স্বীকার** — 'Thank you for your email.' / 'Thanks for the update.' **২. উত্তর** — যা জিজ্ঞেস করা হয়েছে, সরাসরি। এই লাইনটাই সবচেয়ে জরুরি, আর সবচেয়ে বেশি এড়িয়ে যাওয়া হয়। **৩. পদক্ষেপ** — এরপর কী হবে, কে করবে, কবে। **৪. সমাপ্তি** — 'Please let me know if you need anything else.' + 'Best regards,' কিছু পরিস্থিতির জন্য তৈরি বাক্য মনে রাখলে অর্ধেক কাজ শেষ: **দেরি হলে** — 'Apologies for the late reply.' একবার, একটা লাইন। তিন লাইনের কৈফিয়ত দেবেন না; কেউ পড়ে না, আর দুর্বল দেখায়। **সময় লাগবে** — 'I have received this and will get back to you by Thursday.' জবাব দিতে না পারলেও **প্রাপ্তি স্বীকার করুন** — নীরবতা সবচেয়ে খারাপ উত্তর। **'না' বলতে** — 'Unfortunately I won't be able to… but I can…' — না-এর সাথে একটা বিকল্প দিন। **বুঝতে না পারলে** — 'Just to confirm, do you mean…?' অনুমান করে ভুল কাজ করার চেয়ে জিজ্ঞেস করা সবসময় ভালো। আর একটা বাংলাদেশি অভ্যাস বদলানো দরকার: 'Respected Sir, With due respect I beg to state…' — এটা দরখাস্তের ভাষা, ইমেইলের নয়। কাজের ইমেইলে 'Dear Sir' বা নাম জানলে 'Dear Mr Rahman'-ই যথেষ্ট। **আরও চারটে জিনিস, যেগুলো এখানকার অফিসে কেউ ধরিয়ে দেয় না।** এক, **'Noted with thanks'** — উপমহাদেশের ইমেইলে অত্যন্ত প্রচলিত, বাইরে অদ্ভুত ও রুক্ষ শোনায়। বদলে লিখুন 'Thanks, understood.' বা 'Got it, thank you.' একই দলে পড়ে 'Please do the needful' (→ 'Please go ahead with this'), 'Kindly revert' (→ 'Please reply'), 'Please find attached herewith' (→ 'I have attached…')। দুই, **সময়**। বাংলাদেশ GMT+6, তাই বিদেশি সহকর্মীকে খালি 'Let us meet at 4 pm' লিখলে অর্ধেক সম্ভাবনায় ভুল সময়ে মিটিং হবে — সবসময় লিখুন '4 pm Dhaka time (GMT+6)', আর সম্ভব হলে তাঁর সময়টাও পাশে দিন। তিন, **Reply All**। যিনি cc-তে আছেন তিনি জানার জন্য আছেন, কাজ করার জন্য নন; পুরো তালিকাকে 'Thank you sir' পাঠালে দশজনের সময় নষ্ট হয়। শুধু প্রয়োজনে Reply All, নইলে Reply। চার, **নীরবতা**। এখানকার একটা বড় অভ্যাস হলো, উত্তর তৈরি না হওয়া পর্যন্ত মেইলের জবাব না দেওয়া — কখনো কখনো এক সপ্তাহ। বিদেশি কাজের সংস্কৃতিতে এটা অভদ্রতা হিসেবে পড়া হয়। এক লাইনের প্রাপ্তিস্বীকার সবসময় দিন: 'Received — I will come back to you by Thursday.' আর একটা ছোট অভ্যাস, যা লেখার মান সাথে সাথে বাড়িয়ে দেয়: উত্তর পাঠানোর আগে মূল ইমেইলটা আরেকবার পড়ে গুনে দেখুন সেখানে কয়টা প্রশ্ন ছিল। তিনটে প্রশ্ন থাকলে আপনার উত্তরে তিনটে জবাব থাকতে হবে — দরকার হলে সংখ্যা দিয়ে (১, ২, ৩) লিখুন। কাজের ইমেইলে সংখ্যা দিয়ে লেখা অভদ্র নয়, বরং এটাই সবচেয়ে ভদ্র কাজ: পাঠককে খুঁজতে হয় না।

Dear Sir, Thank you for your email.
That opening belongs to a written application, not a work email. It reads as dated to any international colleague.
Writing four sentences apologising for replying two days late.
Apologies for the late reply.
One line closes it. Longer apologies draw attention to the delay and sound unsure.
Replying with explanation but never answering the actual question.
Answering in the first two lines, then explaining if needed.
Busy readers scan the top. An answer buried in paragraph three often gets missed entirely.
Staying silent because you don't have the answer yet.
I have received this and will reply by Thursday.
Silence is read as neglect. An acknowledgement costs ten seconds and buys you days.

- Answer in the first two lines. Explanations go below, not above. — প্রথম দুই লাইনেই উত্তর দিন। ব্যাখ্যা নিচে, উপরে নয়।
- Use 'Reply All' only when everyone genuinely needs it. In doubt, reply to the sender. — সত্যিই সবার দরকার হলেই 'Reply All'। সন্দেহ হলে শুধু প্রেরককে।
- Match their formality. If they wrote 'Hi Rafiq', do not answer with 'Respected Sir'. — তাদের ধরনের সাথে মেলান। তারা 'Hi Rafiq' লিখলে আপনি 'Respected Sir' লিখবেন না।
- Never reply to a difficult email within five minutes of reading it. Write it, wait, then send. — কঠিন ইমেইল পড়ার পাঁচ মিনিটের মধ্যে উত্তর দেবেন না। লিখুন, অপেক্ষা করুন, তারপর পাঠান।

How quickly should I reply to a work email?
Within 24 hours on a working day is the general expectation. If you need longer to answer properly, send the acknowledgement inside that window instead.
Is 'Noted' rude?
Alone it can read as curt. 'Noted, thank you' is fine and very common in South Asian workplaces. With international colleagues, 'Thanks, understood' is warmer.
Should I use 'Dear' or 'Hi'?
'Dear' for someone senior, a client, or a first contact. 'Hi' for colleagues you know. The safest rule is to copy whatever they used with you.
What if the email makes me angry?
Write the reply, then leave it in drafts for an hour. Almost nobody regrets waiting; plenty regret sending. If it is serious, a phone call usually settles in five minutes what ten emails will not.
