How to Make Polite Requests in English

"Please do the needful." It arrives in Dhaka inboxes twenty times a day and it means nothing at all to a reader in London or Toronto — do the necessary what? The phrase survives here because it feels formal, and feeling formal is exactly what a request in English does not need.

"Please do the needful." ঢাকার ইনবক্সে দিনে বিশবার আসে, অথচ লন্ডন বা টরন্টোর পাঠকের কাছে এর কোনো অর্থই নেই — প্রয়োজনীয় কী করবে? বাক্যটা আমাদের এখানে টিকে আছে কারণ এটা শুনতে আনুষ্ঠানিক লাগে, আর ইংরেজিতে অনুরোধের ক্ষেত্রে ঠিক এই আনুষ্ঠানিকতাটারই দরকার নেই।

A polite request in English is a question, not an instruction with a soft word attached. The politeness lives in the modal — could, would, may — and in the question form. "Please give me the file" is still an order; "Could you send me the file, please?" is a request.

ইংরেজিতে ভদ্র অনুরোধ মানে প্রশ্ন, নরম শব্দ জুড়ে দেওয়া নির্দেশ নয়। ভদ্রতাটা থাকে modal-এ — could, would, may — আর প্রশ্নের গঠনে। "Please give me the file" এখনো আদেশ; "Could you send me the file, please?" অনুরোধ।

বাংলায় ভদ্রতা ক্রিয়ার রূপে বসে: "দাও", "দিন", "দিবেন কি" — একই কাজ, তিন রকম সম্মান। ইংরেজি ক্রিয়ার এই রূপ নেই, give সব সময় give-ই থাকে। তাই ইংরেজি ভদ্রতাটা সরিয়ে নিয়েছে বাক্যের গঠনে। এই কারণেই "please" জুড়লেই বাক্য ভদ্র হয় না — "Please give me the pen" শুনতে এখনো নির্দেশের মতো, যেখানে "Could you pass me the pen, please?" অনুরোধ। বাংলার "দয়া করে" যে কাজটা করে, ইংরেজির "please" ঠিক সেটা করে না; ওটা কেবল সুরটা একটু নরম করে, গঠনটা বদলায় না। মাত্রার একটা সিঁড়ি আছে, নিচ থেকে উপরে। ঘনিষ্ঠ ও সহজ: "Can you pass me the salt?" সাধারণ ও নিরাপদ: "Could you help me with this, please?" আরও ভদ্র: "Would you mind closing the door?" আরও নরম, বিশেষ করে কাউকে ঝামেলায় ফেলছেন মনে হলে: "Do you think you could send me the file?" আর সবচেয়ে সতর্ক, বসের কাছে বা বড় অনুরোধে: "I was wondering if you could give me a hand with this." নিয়মটা সহজ — অনুরোধ যত বড়, বাক্য তত লম্বা। দুটো গঠন আলাদা করে মনে রাখুন, কারণ এগুলোতে ভুল বেশি হয়। "Would you mind" — এর পরে সবসময় -ing: "Would you mind opening the window?" — "to open" নয়। আর উত্তরটা উল্টো দিকে যায়: mind মানে আপত্তি, তাই আপত্তি নেই বোঝাতে বলতে হয় "No, not at all" বা "Not at all, go ahead"; "Yes" বললে মানে দাঁড়ায় আপত্তি আছে। দ্বিতীয়ত, "Would it be possible to…" — এর পরে to + মূল ক্রিয়া: "Would it be possible to change my appointment?" শেষে অফিসের ইংরেজি নিয়ে তিনটে সতর্কতা, কারণ বাংলাদেশি ইমেইলে এগুলো সবচেয়ে বেশি চোখে পড়ে। এক, "do the needful" — বাদ দিন, বদলে লিখুন ঠিক কী চান: "Could you please approve the invoice?" দুই, "revert back" — ইংরেজিতে revert মানে আগের অবস্থায় ফিরে যাওয়া, উত্তর দেওয়া নয়; লিখুন "please reply" বা "let me know"। তিন, "kindly" — আমাদের এখানে প্রতিটি বাক্যে বসে, কিন্তু আধুনিক ইংরেজিতে শব্দটা পুরনো ও একটু কড়া শোনায়; "Kindly send the report" এর বদলে "Could you send the report, please?" অনেক বেশি স্বাভাবিক।

Common Mistakesসাধারণ ভুল

  • Give me the pen.

    Could you give me the pen, please?

    A bare command sounds like an order. Adding 'Could you…' and 'please' makes it a polite request.

  • Would you mind to open the window?

    Would you mind opening the window?

    After 'Would you mind' the verb takes -ing (opening), not 'to open'.

  • Please you help me?

    Could you help me, please?

    'Please' is not a question word. Start with 'Could/Can you…' and put 'please' at the end.

  • I want you send me the report.

    Could you send me the report, please?

    'I want you…' sounds demanding; a polite request uses 'Could you…?'

  • 'Could you…?' is safer and more polite than 'Can you…?' — use it with strangers, teachers and at work. — 'Could you…?' 'Can you…?'-এর চেয়ে বেশি ভদ্র ও নিরাপদ — অচেনা মানুষ, শিক্ষক ও অফিসে এটাই ব্যবহার করুন।
  • Put 'please' at the end or after 'you' — 'Could you please…' or 'Could you…, please?' — 'please' শেষে বা 'you'-এর পরে বসান — 'Could you please…' অথবা 'Could you…, please?'
  • For bigger favours, soften more: 'I was wondering if you could…' sounds gentle and respectful. — বড় অনুরোধের জন্য আরও নরম করুন: 'I was wondering if you could…' শুনতে মৃদু ও সম্মানজনক।
  • A smile and a 'thank you' after the request matter as much as the words themselves. — অনুরোধের পরে একটি হাসি ও 'thank you' শব্দগুলোর মতোই গুরুত্বপূর্ণ।
