How to Read English Emails
How to Read English Emails
Introduction
The hardest thing about an English work email is not the vocabulary — it is that instructions arrive dressed as suggestions. 'I was wondering if you could possibly send the file' is not wondering; it is send the file. 'Just checking in on this' is not a friendly hello; it is you are late. Read those sentences the way they look and you will seem to be ignoring your client. Learning to see the instruction inside the politeness is the whole skill.
'I was wondering if you could possibly send the file' মানে ভাবাভাবি নয়; মানে ফাইলটা পাঠান। 'Just checking in on this' কোনো বন্ধুসুলভ কুশল নয়; মানে আপনি দেরি করছেন।
Definition
Every work email carries three things you must extract: who is asking, what exactly they want you to do, and by when. Everything else — the greeting, the context, the thanks, the sign-off — is packaging. Read an email by hunting those three, and a long message stops being long.
Bangla Explanation
বা 'Let me know by…' 'I was wondering if you could…' 'When you get a chance…' 'Just checking in' বা 'Following up on my last email' = আপনি দেরি করছেন। 'At your earliest convenience' = যত দ্রুত সম্ভব। 'Any update on this?' 'I'd appreciate it if…' 'Correct me if I'm wrong, but…' 'Per my last email' প্রায় সবসময় বিরক্তির চিহ্ন। বুঝতে না পারলে অনুমান করবেন না, ছোট একটা প্রশ্ন পাঠান: 'Just to confirm — you need the revised file by Thursday, is that right?'

Frequently Asked Questions
How do I find the main point of a long English email quickly?
Read the subject line, then the first paragraph, which usually states the reason for writing. After that, scan for action words like 'please', 'could you', or 'need', and for any dates. Together these give you the main point without reading every line.
What common polite phrases appear in English emails?
You will often see 'I hope this email finds you well' (a friendly opening), 'Could you please…' and 'I would appreciate it if…' (polite requests), 'at your earliest convenience' (as soon as possible), and 'please find attached' (a file is included). Learning these makes formal emails much easier to read.
How can I tell if an email is formal or casual?
Look at the greeting and closing. 'Dear Mr Khan' with 'Sincerely' or 'Best regards' is formal, usually for work or official messages. 'Hi' or 'Hey' with 'Thanks' or 'Cheers' is casual, usually from friends or close colleagues. The tone tells you how to reply.
